Job Title: Youth Service Administrator
Location: Bowen House, Westminster Bridge Road, London, SE1 7JE
Reports To: Director of Youth
Hours: 21 hours per week (flexible working including Saturdays when required)

Salary: dependant on experience 

We are looking for someone to be responsible for the administration and communications for the Youth Service with a focus on Youth Events and Training Seminars.

Main Duties-

Administration of local Diocesan Youth Events and Training Courses

  • Arrange and administer specific youth days, retreats, and training events. In particular:
  • Agree dates/timings and book venues. Create timetable, sourcing speakers, sports and comms professional, and necessary volunteers.
  • Use Jotform or other booking system to manage bookings.
  • Send out joining instructions to delegates and volunteers.
  • Manage payments from delegates and arrange payment of contractors and venue.

National and International events

  • Provide administrative support of national events such as Flame and other pilgrimages including publicity, ticketing, invoicing and onboarding.

Communications Administration

  • Administer the Youth Service Communications including: Updating the website and social media with details of past and forthcoming events.
  • Send regular stories to the Central Diocesan Comms team.
  • Create and update a quarterly Mailchimp Newsletter to our ‘Youth Network’.
  • Promote events on social media platforms and via distribution list.
  • Draft updates for the ‘Bowen House News’ and ‘Ad Clerum’
  • Liaise with key stakeholders to ensure photography of all events.  

Business Support

  • Manage the email inbox for the Youth Service.
  • Coordinate financial administration.
  • Provide other administrative support where required.

Person Specification:

  • Respect for the Roman Catholic Church and its teachings
  • Strong organisational and time management skills to deliver a varied workload.
  • Ability to work as part of a team and manage a range of volunteers and stakeholders.
  • Excellent written and verbal communication skills
  • Experience of safeguarding, health and safety and GDPR.
  • Strong IT skills with intermediate or advanced experience of MS Word and Excel, and social media platforms.
  • Creative use of communications packages including Canva, Mailchimp, Wix, Flickr or equivalents.
  • Demonstrable and significant experience working with young people in a similar role either parish or school setting.
